Job Description

Eurobank Private Bank Luxembourg S.A. is engaged in the business of providing Private Banking, Wealth Management, Investment and Advisory services for corporate and private clients. In order to reinforce its team during a high workload period, our Bank is currently looking for a:

Administrative Assistant/ Receptionist (m/f/d)

As an Administrative Assistant/ Receptionist, you will be having a double responsibility as (1) Assistant to the Authorized Management of the Bank and (2) Receptionist, working closely with the General Services department.

Main duties and responsibilities:

Administrative assistant related tasks:

  • You will be primarily appointed to ease the daily life of the Bank’s Authorized Management (AM), other than the CEO, via dealing with their schedules and necessities, and to support colleagues from other departments with secretarial / administrative related queries;
  • Management of daily e-mail and other correspondence as well as phone calls of AM;
  • Organization of conference-calls, video-conferences, meetings;
  • Gathering and preparation of documents for meetings and follow-up;
  • Management of invoices and expense reports;
  • Organization of business trips (flight quotations, hotels);
  • Opening incoming mail;
  • Switchboard / telephone central.

As Administrative Assistant to the Authorized Management, you will be the back-up of the Executive Assistant representing similar tasks for the CEO.

Reception/General Services related tasks:

  • Management of daily incoming mails - (regular, DHL, express, Hand delivery) scanning and dispatching;
  • Management of daily outgoing mails (Bank client statements printing and reconciliation -DHL express) and packaging;
  • Organization of conference-calls, video-conferences, meetings;
  • Management of visitors (reception, access, parking, etc..).

As receptionist, you will be the back-up for General Services’ related tasks, such as client statement printing, mailing and access management, fire drill, premises and bank’s cars management.

Requirements

You will be a great candidate for us if you:

  • Own a Secretarial or administrative degree. University degree would be considered an asset;
  • Have minimum three years’ experience in a secretarial, administrative position or as Executive Assistant;
  • Have very good command of Microsoft Office (Word, Excel, PowerPoint), Outlook;
  • Are fluent in English. Greek and/or French would be considered an asset;
  • Have ability to multitask, prevent and preview managements’ needs, be organized and committed to details, know how to prioritize in times of intense workload;
  • Have positive attitude and good communication skills;
  • Valid driving license.
